2. Payments & Deposits

Any reservation requires a credit or debit card to guarantee the booking. No payment is required until arrival. Accommodation booked in conjunction with a private function must be discussed directly with the event organizer.

3. Pre-Authorisation

Upon arrival guests will be asked to present the card with which the reservation was made. For fraud prevention purposes, we match cardholder details at this stage.

All guests will be asked to provide credit or debit card details for pre-authorisation on check in. Funds are not withdrawn from the guest’s account, but are reserved to cover the bill at check-out. Unspent monies held can take 7-10 days for banks to release. We pre -authorise the total for the stay plus a £50.00 per night security deposit.

Guests may settle their room bill with cash but will still be required to provide a card for pre authorisation of the security deposit.

4. Large Group Bookings

Large group bookings can be held for a period of 1-2 weeks on a provisional basis. A deposit is payable for confirmed bookings, with the full balance due prior. For a quotation for a group booking enquiry please contact our reservations team on 01277 226418.

5. Family Rooms

Family rooms will sleep 4 consisting of 2 adults in a double bed and 2 children in a sofa bed or one child per Z-bed. The maximum age of children in a family room is 14 years old.

6. Companies with contracted arrangements should refer to their individual terms.

7. Non contracted companies or clients must settle their account on the day of departure and will not be invoiced after the stay unless credit facilities have been agreed at least 28 days prior to the commencement date and subject to the receipt of satisfactory references. It is at the discretion of De Rougemont Manor as to the final agreement of credit facilities being offered and De Rougemont Manor shall not be required to give any reasons in the event of credit being refused. Invoices must be settled within 30 days.

8. Cancellation/Amendments

Rooms booked at the Hotel’s best available rate, or rooms booked online can be cancelled by 2pm on the day of arrival to avoid cancellation charges. Late cancellation or no shows will be charged at the full room rate quoted for the first night. Any dates reserved thereafter will be released. 9. For amendments to reservations please contact us at least 24 hours prior to arrival to advise of any changes. Additions can be made at any time prior to arrival but are subject to availability and may not be possible

10. Additional Charges

Bedroom rates quoted do not necessarily represent the full cost of the stay. Items added to the room account during a stay, for example food and beverages, will be chargeable. The final total will be provided at time of checkout.

11. Insurance

The hotel does not provide travel insurance. We recommend that guests arrange suitable travel insurance for the duration of their stay.

12. Hotel Property

All items within the Hotel remain the property of De Rougemont Manor. De Rougemont Manor reserves the right to charge guests after departure for items removed during the stay. (I.e. but not limited to towels, items in rooms or around the property etc.) Items found damaged will be charged for at the purchased rate.

13. Dress Code

The hotel respectively encourages smart – casual dress if dining in our Heseltines Restaurant.

14. Gift Vouchers

De Rougemont Manor Gift Vouchers are available to purchase from reception and are valid for 6 months from the date of issue. Expired vouchers will be removed from our system and cannot be redeemed after the date stated.

15. Special Offers

De Rougemont Manor reserves the right to withdraw or change previously advertised offers at any time without notice.

16. Check In & Check Out

Guest bedrooms are guaranteed for check in from 3pm on the day of arrival. Bedrooms must be vacated by 11am on the day of departure. Early check in (1pm) and late check out (1pm) are available each at a cost of £15 per room and must be pre booked as availability for this is limited.

17. Smoking

Smoking within the building is against the law and will not be tolerated. If a bedroom is found with evidence of smoking having taken place, a charge of £100 will be added to the guest’s account to cover the cost of deep cleaning the room. De Rougemont Manor reserves the right to charge guests after departure in such incidences.

18. Special Requests

For any special requests or dietary requirements please inform our reservations team at the time of booking and confirm in writing upon receipt of booking confirmation. We will ensure that every effort is made to accommodate all special requests, but cannot guarantee that they will be fulfilled and any failure by us to do so will not be a breach of contract.

19. Information about your Party – Group Booking’s.

The person who makes the booking will be deemed to be accepting the terms and conditions on behalf of all guests on the booking, as lead booker. The lead booker is responsible for ensuring that all members of the party are aware of and accept our terms and conditions and the obligations contained in them, the brochure and any other documents and information supplied by us. We have the right to obtain from the lead booker the name, age, address and gender of each guest before confirming your booking or at any time and the lead booker must be a member of your party unless previously agreed otherwise.

Additional Terms & Information

20. All accommodation prices include VAT @ 20%. In the event of a variation in the rate of VAT, the new VAT rate will be applied.

21. Due to licensing laws & health and safety regulations, De Rougemont Manor does not accept any responsibility for the supervision of children around the Ponds, Gardens, or Swimming Pool. Children must be supervised at all times.

22. Clients and guests agree to comply with De Rougemont Manor’s procedures and/or requests with regards to conduct and respect for the property of the Hotel, its employees and its guests and their health and safety at all times.

23. De Rougemont Manor accepts no liability for loss of or damage to the property of any guest or visitor.

24. No wines or spirits, other than those purchased from the hotel, may be brought onto the public areas of the premises for consumption in any circumstances.

25. The Management accepts no responsibility for any items left unattended. Any lost property not collected on the day of departure will be disposed of.

26. All cars parked at De Rougemont Manor are left at the customers own risk. The Management do not accept any responsibility for any vehicles or items that are left unattended.

27. The Hotel will not be liable for any failure to provide services contracted in the following circumstances:

  • Industrial action by the Hotel’s employees,
  • Industrial action by the staff of a major supplier,
  • Fire, lightning, aircraft impact, explosion, riot, civil commotion,
  • Malicious damage, storm, flood, burst pipes, earthquake and impact,
  • Postal or emailed bookings, which do not reach the Hotel,
  • Breakdown of plant, or any failure to supply the Hotel with Gas, Electricity and Water Services etc.,
  • Unavoidable supervening events.

In any of the circumstances set out above, the Hotel will try to give you as much notice as possible and will work with you to try and relocate your booking to a substitute venue. The Hotel’s liability to you will be limited to returning any sums paid as deposit or on account in respect of your booking.
