Terms of bookings

The following terms and conditions apply to all bookings.

Confirmation of booking

Bookings will be considered definite once a non-refundable Deposit of £500 has been paid.

Menus

Please select a menu for your party. The customer is responsible for the correct printing of their own menu.

Numbers

Numbers must be received at least four weeks prior to the function. You will be invoiced on this number even if numbers are subsequently reduced. You have until 1 week before to make any changes to these numbers. After this point it will be too late to to decrease your numbers without being liable for the charge.

The maximum capacity for a sit down meal is 170 guests.

The total number of guests cannot exceed 250 at any one time.

Payment

A proforma invoice will be sent out based on your provisional numbers two months prior to the event.

The final balance must be paid 2 weeks before the event.

Payment may be made by credit card, cash or bank transfer. Please note that 20% vat is included in the prices quoted and final balances must be settled prior to the event taking place.

Corkage

It is company policy that guests are not permitted to bring their own food or drink for consumption on the premises with the exception of celebration cakes. This includes when an event is being booked on a minimum spend basis.

If guests are seen to bring their own liquor this will be confiscated.

Wedding ceremonies

You will be required to organise your own Registrar for the ceremony.

Gardens

Please be aware that our gardens feature a swimming pool and sunken ponds and therefore provide a danger to children and non-swimmers. The company does not accept responsibility for anyone using the gardens.

Prices

Prices quoted in our brochures are valid until 31st December of that year but are subject to alteration without prior notice. After the deposit has been received to confirm your booking, prices quoted in writing will be
adhered to.

There are no charges for background music, the use of the gardens, cake stand or knife.

Floral decorations, table arrangements and chair covers are not included in the prices quoted.

Changing facilities are not provided, however, a bedroom may be reserved at normal rate for this reason.

Finishing times

Goldings Suite – Friday & Saturday to finish at 12.30am, Sunday to Thursday 11pm.

Garden Lounge – Friday & Saturday 12am, Sunday -Thursday 11pm.

Study Suite – Monday – Sunday 11pm.

The bar will close half an hour prior to the finish of the function.

All non-residents must vacate the premises at the close of the function. Hotel Residents are welcome to stay with-in the function suite used for the function until 1.45am however no further bar service will be provided after the function close time. We do request that all public areas are vacated by 2.00am.

Entertainment and discos

Due to the limitation of space please refrain from booking bands of more than three members (No drums). Noise levels are monitored and must not exceed 95 decibels for the comfort of your guests and nearby
residents. If entertainers fail to stay within this limit we reserve the right to disconnect the power supply.

The client is responsible for ensuring that entertainers using electrical equipment have the appropriate safety certification and also Public Liability Insurance. If the equipment is deemed to be unsafe the management
reserves the right to disconnect he power supply. All entertainers must vacate the premises within 30 minutes of the end of the function.

The management has the right to change its music policy at any time.

Equipment and property

De Rougemont Manors insurance policy does not provide cover for the loss or damage of clients or guests equipment or property which must be collected at the close of the function, including all presents, ipods used for background music etc.

Damage

Clients are responsible for any damage caused by themselves or their guests, agents or employees in any part of the hotel or grounds.

Violence Policy

We have a zero tolerance on violence, therefore if any physical or verbal incidents were to occur the management has the authorisation to remove the guest/guests and if deemed necessary close the event.

Agents

Should a client enter a contract using an agent the payment of the invoice is still the responsibility of the client.

Bedrooms

The earliest check in time is 3.00pm. We cannot guarantee access prior to this time. An early check-in is available if pre-booked, subject to availability. This is a chargeable service .

Check out time is 11.00am

Group bedroom booking policy

A reduced rate can be given for booking bedrooms should 10 or more rooms be booked. You would collate your guests booking requirements onto a booking form provided by us and then this would be returned to us 2 months prior to the event taking place. At this time any unconfirmed reservations will be released, but you would be able to add to your booking after this time subject to availability.

Bedroom cancellations (not group)

If a bedroom needs to be cancelled please do so by 2pm on the day of arrival for no charge to be incurred. In the event of a no-show or cancellation after this time the full confirmed room rate will be payable.

Function cancellation policy

Cancellation means the loss of deposit in all cases.

Cancellation six months or more prior to the event will incur no further charges.

Cancellation between three and six months prior to the event will incur 50% of the anticipated costs.

Cancellation between one and three months prior to the event will incur 75% of the anticipated costs.

Cancellation of less than one month will incur full payment.

All terms and conditions are subject to change without notice at the managements discretion. Staff gratuities at your discretion.
